1. Can we have alcohol at events in the Conference Center?

Yes alcohol is allowed at the Conference Center. However we do have to comply with City and ABLE Commission rules, so please inquire directly with an Event Coordinator who will explain the requirements that would apply to your event.

2. How much is it to have a wedding at the Conference Center?

We price all events held in the exhibit hall, concourse or patio areas individually dependent on the size of the event and specific requirements. Please call and speak with an Event Coordinator who will be happy to discuss your needs and give you a no commitment quotation.

3. Can we bring in our own tables and chairs?

No, we supply all required furniture for events. However we will allow a special table for a cake or display, and we require you to rent ‘outdoor use’ chairs from an alternate supplier for patio events.

4. Do you have chair covers we can use?

No we do not supply chair covers for events, we can supply contacts who have these available to rent.

5. Will you give us the keys to the facility on the day of our event?

No all our events are staffed throughout and access times will be agreed in advance with you.

6. Do we have to setup the furniture we are using, take it down at the end and clean the room?

No your Event Coordinator will agree the layout with you in advance and the room will be setup ready for you as agreed when you arrive. At the end we require you to remove any items you wish to take, place anything you do not want in the supplied trash cans, and our staff will clear and clean the room.

7. How late can I rent a room at the Conference Center?

All events end at midnight and then there is reasonable time allowed beyond that to clear your belongings from the room.

8. Can I get into the room the day before my event?

This is dependent on the type of event, our booking schedule and your event start time. Please speak to your Event Coordinator in advance to agree an access time.

9. Can I borrow or rent furniture or equipment from the Conference Center for an event at another location?

No we do not offer this service currently.

10. Will the Conference Center supply someone to run my audio visual at my event?

No we not offer this service as part of the general rental, you will need to bring someone in to manage this for the event.

11. Are there any items we cannot use in the Conference Center?

Real candles, water beads, hay bales, sparklers, fog machine, loose glitter, helium balloons.

12. Can we move out of the room we rented the day after our event, or store some things there until the next day.

All rooms need to be cleared immediately after the end of your event, unless specific arrangements have been agreed in advance with your Event Coordinator in writing. Storage of some items overnight may be possible but must be agreed in advance of the event date with your Event Coordinator.

13. Can we bring our own food in for an event?

Yes this is allowed, but please advise your Event Coordinator in advance. We have a catering kitchen that can be rented for an additional fee to assist with this if some food preparation is needed on site.

14. Can I bring in my own beverages (non-alcoholic) to the event for guests?

All Conference Center events are serviced with a selection from coffee, iced tea and water included in the room rental fee. Soda can be requested for an additional fee.

15. Do I need to bring my own ice?

No we have an ice machine and will supply all required ice for your event included in the room rental fee.

16. Can you supply the table linens?

Yes we will supply linen tablecloths, skirts and napkins if required for an additional fee. Please speak with an Event Coordinator for details of available color choices.

17. Where do I unload everything I bring for my event?

Please speak with your Event Coordinator regarding loading in and out of the facility. We have a loading bay with a dock at the south end of the building and can supply dollies and carts to assist you.

18. Do you have a calendar available online I can look at and book my event on?

No, please call the Conference Center at (580) 256-9990 to check availability with an Event Coordinator.

19. Are animals allowed in the Conference Center?

Only service animals are allowed in the Conference Center with prior approval from an Event Coordinator.
